How do I begin a patch order?
Fill out our custom patch builder, or email your artwork or idea to sales@patchcraftpro.com, along with the quantity, finished size, preferred patch type, backing and delivery destination. Include any required arrival date so we can prepare a quote around your project.
What is the minimum order quantity for custom patches?
Our minimum order quantity is 200 patches. However, ordering larger quantities significantly reduces the per-patch cost, making bulk orders more economical for teams, organizations, and businesses.
What file format should I use for patch artwork?
We accept virtually all file formats including JPG, PNG, GIF, AI, EPS, SVG, PSD, PDF, DOC, XLS, and PPT. For best results, we prefer vector files (AI, EPS, or SVG) as they can be scaled to any size without losing quality. If you only have raster images (JPG, PNG), please ensure they’re at least 300 DPI resolution. Don’t worry if you only have a low-quality image or hand-drawn sketch—our graphic designers can recreate your design professionally.
Are there any restrictions on the shape of my patch?
Not at all! Thanks to our hot-cut border, we can create patches in any shape you desire. Standard shapes for embroidered patches usually have a merrowed border. Regardless of the shape, we can transform it into a patch.
Can you create patches smaller than 2 inches?
Yes, we can. However, please note that the level of detail we can incorporate into your patch is dependent on its size. Larger patches allow for more detail.
What is the maximum size for a patch?
We can manufacture patches up to 15 inches in width or height.
Which materials are used for patches?
Materials depend on the patch type: embroidered designs use stitching over a fabric base, woven patches use woven thread, and PVC patches use a molded construction. Browse our patch types and confirm the material specification in your quote.
What is the purpose of the peel-and-stick sticker backing?
The peel-and-stick sticker backing is suitable for temporary applications, such as trade shows or weekend events. We suggest a hot-cut border for patches with peel-and-stick sticker backing. However, for long-term use, we do not recommend peel-and-stick sticker backing.
When does the payment for the order take place?
Once you confirm the order and PI (pro forma invoice) contract by email, we will collect payment through a WorldFirst payment link. WorldFirst supports payments with all major credit cards, and our factory team will follow up on your order throughout production.
Why is upfront payment necessary for my patches?
Since you’re ordering a custom product that can’t be resold due to its unique nature, we require payment at the time of order placement.
How can I be assured of receiving my patches after payment?
PatchCraftPro is a physical custom patch factory that has been operating in Dongguan, China, for over a decade—not a studio without production premises or a middleman. Are there additional charges for shipping or sales tax?
We offer free worldwide shipping via DHL, FedEx, or UPS, with no customs duties for you to pay.
What payment methods do you accept?
We accept all major credit cards, including Visa, Mastercard, Discover, and American Express.
Do you accept purchase orders or checks?
Yes, we accept purchase orders from public schools or government agencies for orders over $200. We also accept checks, but please note that your order will only be processed after we receive the check.
What if I find a cheaper alternative elsewhere?

How long does it take to receive my patches?
Lead time depends on the order quantity. Our standard production lead time is 5-15 days after order placement, excluding shipping time. Standard shipping takes 5-10 days.
Can you deliver to an APO?
Yes, we do provide shipping to APO addresses, although a minor shipping and handling fee will apply.
How long-lasting is the iron-on backing?
When applied correctly, the iron-on backing can withstand approximately 20-30 wash cycles. For iron-on patches, we recommend opting for a hot-cut border.
Can I preview the patch before finalizing the order?
Absolutely. Our graphic design department will create a full-color proof for your review and approval. Once you approve the initial digital proof, we will also produce a physical sample for you to review, so you can see the final patch design firsthand. We will only begin production of your order after you approve the physical sample.
What if the proof doesn’t meet my expectations?
If the proof isn’t to your liking, you can request any necessary modifications. We are happy to revise the proof until it meets your satisfaction, and we do not charge for any proofs or revisions.
Where are your custom patches made?

How do you determine the price of your custom patches?
We do not use the size-based pricing model used by middlemen, which we consider unfair and inflated. Pricing should reflect the actual quality of the product. We use a B2B pricing approach: for embroidered patches, for example, our quotes are primarily based on the actual stitch count, number of colors, and design complexity. This is also why our minimum order quantity is 200 pcs. Smaller orders cannot cover our factory production costs, as we use imported machines specifically designed for bulk production for brands.
Can you match specific Pantone colors?
Yes, we can match Pantone colors for your custom patches. Our thread selection includes thousands of colors, and we work closely with you during the design proof stage to ensure accurate color matching. For the most precise color matching, we recommend providing Pantone color codes with your artwork.
Do you offer samples before full production?
Yes. We provide free digital proofs for your review before production. Once you approve the digital proof, we will produce a physical sample for your review. We will only begin bulk production after you approve the physical sample. Our 100% Satisfaction Guarantee ensures you’ll be happy with the final product.
What backing options are available for custom patches?
We offer several backing options: Iron-On (heat-activated adhesive, perfect for fabric items), Sew-On (traditional attachment for permanent placement), Velcro (hook-and-loop for easy removal, popular for military and tactical gear), Peel-and-Stick Sticker (peel-and-stick for temporary use), and Plain Back (no backing, for specialty applications). Your choice depends on the intended use and attachment surface.

What’s the difference between embroidered and woven patches?
Embroidered patches use raised thread stitching on a twill backing, creating a textured, classic look ideal for bold designs with defined edges. They’re the most popular and affordable option. Woven patches use thinner thread woven flat into the fabric, allowing for finer detail and smaller text. They have a smoother appearance and work better for intricate designs, small logos, or photographic images. Embroidered patches are more durable for rugged use, while woven patches offer superior detail.

Can I order patches with Velcro backing?
Yes, Velcro backing (hook-and-loop fastener) is one of our most popular options, especially for military, tactical, and uniform applications. Velcro backing allows you to easily attach and remove patches from bags, uniforms, hats, and gear. You can choose either hook (rough) or loop (soft) backing depending on your application. We can also provide matching Velcro panels for permanent attachment to garments.
